General Permissions
Administrators have the ability to grant access to additional users to edit, remove, delete or add documents. These permissions are managed by assigned Administrators only to prevent confusion or accidental remove of necessary documents.
Required Document Review Process
Depending on your business model we recommend documentation reviews for EHR related items, certifications, receipt and payable processes as well as shared information uploaded to the system be reviewed by an additional party for QC or maker-checker accountability for reassurance.
User and Client Capabilities
Limited Access
Access is based on user roles and permissions to better manage operations efficiently. Segments include: Administrators Group, (Administrator, Co-Administrator, Program Manager), Caregiver Group (Site Manager, Site Lead, Caregiver, View-Only User Groups (Other Users) and Medical User Group (Nurse, Direct Support Professional, Mental Health Technician). These four groups are the primary user types accessing the platform with assigned access by Administration.
Permissions
This section is vital to the user groups pre-populated in the system. Titles may slightly differ from recommended names given per organization. Permissions are managed and reviewed by Administrators initially added to the system. These permissions can be managed by whomever the primary Administrator deems responsible.
Users and clients can be added by whom the Administrator deems reliable based on permissions granted. Once users and clients are added to the system, permissions restrict the amount of documentation, manipulation and visibility a user will have to support the client as needed. Clients can also be granted access to the system. We recommend 'view only' capabilities to avoid unnecessary involvement.
Single Sign On (SSO)
Upload Documents
Documents are added to the system via upload from a secure device in compliance with HIPAA and SmartBran Terms and Conditions. File size is recommended and restricted to enhance the user experience and capture required information needed for client or user performance.
Download Security
All files per our HIPAA Policy required a security code to access documents removed from the system via download. If the security code is not entered correctly, the document will not be opened and deemed unusable.
Edit and Removal
Per user permissions 'edit' and 'removal' are not allowed unless granted by primary Administrator and/or designated user. 'Hard delete' is not a feature we offer based on audit trail and sensitive data being housed. If a document is removed, it is still retrievable by contacting our tech support for further assistance.
In compliance with our HIPAA Policy we require Single Sign On and 'checkbox' agreement with terms and conditions. Our system will timeout after noticeable stagnation from key strokes and scrolling to keep data secure at all times.
Designated Representative
Based on your product choice, a designated 'Concierge' will be provided to best assist with onboarding, tech issues and overall needs of the end users.
Training and Support
At no point will we leave our users searching for answers without the ability to assist them through 'help' text, video and audio recordings, walkthroughs, email support and designated times for quality assistance. We desire efficiency and that means support is available to assist. We also do our best to response to immediate issues in real-time or more technical matters within 24-48 hours.
Billing
Payment and processing is secure via HIPAA policy requirements. We do not share credit card numbers, bank information, medicaid numbers, insurance policies, etc. with parties unrelated to said clients. Information is only utilized to the needs of the client and associated parties assisting and/or providing service to clients.
Receipts and Processing
Receipts, financial transfers and related documents are captured to accurately depict spending and associated support required for the client. Expenditures are documented for client and service records to use for reporting and calculation of services rendered. Any unauthorized charges will be deemed as fraud and will be investigated to determine the severity of switch and legal action to rectify the matter.

No! If you’re a small business with less than 3 staff and 5 clients, you can use our platform for 'Free,' if you have more than 10 employees and 5 clients, I would recommend the “Simple Choice” which is cost effective and includes majority of features you need to get started.
If your team is larger than 30 employees, after the 14-day trial, you can select a Limited plan suitable for your needs (Smart Choice, Brilliant Choice, Genius Choice). The Limited plan is free for the first year and it includes the essentials of each product we offer.
That said, our prices are extremely competitive, and no other platform in this class offers so many capabilities for such an affordable fixed price for the first 30 employees!

Bear in mind that the Simple, Smart and Genius Choice's plan doesn’t include everything you experienced during your free trial, which means some capabilities will be lost.
If you’re a small business with less than 3 employees, you’ll be able to use the Free platform for an entire year at no charge.

After your free 14-day trial, you need to decide if you will continue using SmartBran. If you do, you need to subscribe to one of our Choice options or use the Free version for up to 3 users.
We try to make this decision as easy as possible, that’s why we offer a monthly subscription that can be canceled at any time (no refunds will be granted for any pre-paid amounts), and an annual subscription that includes a prorated refund if canceled within the first 30 days.
If you don’t want to subscribe, all your information will stay intangible until you decide to subscribe or delete the account upon request. If you’re a small business with less than 10 employees, you’ll be able to use the “Small Business Plan” for free 🙂
We have 4 Product Choices, each with different plans, ranging from Simple Choice to Genius Choice. That way, you can enjoy SmartBran's all-in-one experience while only paying for what you actually need. Our prices are fixed for the first 30 users, and from the 31st user and above we have a price per user, per month, for each plan.
For example, an SMB can subscribe to the Genius Choice, Brilliant Choice, Smart Choice or Simple Choice based on your needs and size of your organization. A very small business can decide to go Free or Genius, while and large company with 500 employees or more would probably go Genius to save costs and make the most of the platform.

The Genius Choice plan is mostly recommended for companies with more than 200 employees because of the amount of features and tools utilized on a daily bases. Contact us for more information about the specific questions and tailored needs.

We offer a monthly subscription that can be canceled at any time (no refunds will be granted for any pre-paid amounts), and an annual subscription that includes a prorated refund if canceled within the first 30 days.
If you decide to add additional seats to your account during your current payment cycle, if it’s monthly the additional charges will be reflected in the next billing cycle. If you have an annual subscription, you will have the option to pay monthly for the additional seats or an annual pay option.
This ensures that you’re only charged for what you use, keeping the process fair and transparent.
Example: You want to add a seat (i.e. a 3$ cost) to your account in the middle of the month and you’re on a monthly subscription.
You will pay 1.5$ right now for the current payment cycle. The following payment cycle will contain the full 3$ seat payment.
